In our previous handout, How to Delegate More Effectively Part 1, we touched on the first 4 techniques to delegation. This handout will finish out our suggestions for effectiveness. If you find yourself needing that extra time and you know delegation is the solution for you, then use these final 3 tips to ensure success.

  • You Want It By When? Set a specific deadline for the delegated work. Why is this so important? Because when you delegate something to someone, you are adding something new to their workload. If you don’t give a crystal clear completion date along with it, human nature takes over. They’ll subconsciously drop the item to the bottom of their list every week in favor of their own “owned” tasks. Deadline it or else.
  • You Scratch My Back… Because delegating work adds to someone else’s workload, you need to put some reward elements into your thinking. This begins with something people don’t hear often enough when they do a job for someone else, and that is a simple but heartfelt “Thank you”. It can be shown in more tangible ways too, like gift certificates or an early afternoon off at week’s end. In fact, if you find yourself delegating an aspect of your work to the same person on a regular basis, why not re-engineer their job description to include the task permanently, along with a little pay raise?
  • “We never talk anymore…” Even when you’ve delegated something, you still have a job to do. That’s right. You still have the responsibility to check in with the person on a regular basis to gauge the progress they’re making on what you asked them to do. Delegation is not a “set it and forget it “kind of thing. Few productive relationships are. Set a regular check-in moment in person or by e-mail that allows progress to be checked and roadblocks to be handled.
